How to get there
Go to Messaging in the top nav and click into your newsletter. You'll see eight tabs across the top, plus shortcut cards on the right for Manage Content and View Analytics.
Tab 1: Identity
Your newsletter's internal name and description. Your subscribers don't see these — they're for you and your team in the dashboard.
You'll also see a reminder of your company information here. This inherits from your organization defaults in Settings → Name & Company. To change defaults globally, click Edit in Settings. To override sender info per newsletter, use the Email tab.
Tab 2: Email
Where you set up everything subscribers see in their inbox before they open the email.
Subject & Preview:
- Section for Subject — pick which section's article supplies your subject line (not required if you're using Custom)
- Date Format — choose how dates appear in the subject
- Subject Line Source — pick one of the three options below:
- Selected Article — the top article in your chosen section
- Featured Article — a featured article from your content pool
- Custom — write your own
- Preview Text — the snippet that shows next to the subject in inboxes
- Merge tag chips — click any of these to insert dynamic values (subscriber name, etc.)
Template:
Click Change to pick from your available layouts. The currently published layout has a badge. You can switch anytime; the change takes effect on your next send.
Sender Information:
- From Name — who the email appears to come from
- From Email — the address shown in subscribers' inboxes
If you send on behalf of multiple brands, this is where you set the right sender per newsletter. Otherwise, leave these inheriting from your organization defaults.
Tab 3: Audience
Who receives the newsletter.
- Include Lists — lists of contacts to send to
- Exclude Lists — lists to suppress from this send
- Subscription Type — the type and its behavior (opt-in vs opt-out)
- Segments — target specific groups within your audience for more tailored content. Segments are imported via CSV with a
segment_codecolumn and can be used in scheduled content, source-level targeting, segmented previews, and segment-filtered analytics. (Enterprise plans only — see Segments for details.)
The Audience Summary at the bottom shows your reach: total included, total excluded, and the final count who will receive.
Tab 4: Content
How rasa.io chooses what to include in the newsletter.
Filters:
Add keyword filters to control which articles can appear in your newsletter:
- Whitelist filters — articles must include these terms
- Blacklist filters — articles that include these terms are excluded
Click + New filter to add one. You can set a name, type (Whitelist or Blacklist), and the tags/keywords it applies to.
Article Counts:
- Max per source — the most articles allowed from any single source
- Min count — the fewest articles required to send the newsletter
- Max count — the most articles in the newsletter
⚠️ If you don't have enough articles to meet the Min count when it's time to generate, your newsletter won't send. Keep an eye on your Content Pool.
Sections:
Sections divide your newsletter into named groupings (e.g., "Industry News," "Careers," "Events").
- Fully Sectioned Newsletter toggle — turns on section-based organization
- Per section: MIN per section, MAX per section, Code (must match the template's HTML if applicable), and Display Name (what subscribers see)
You can toggle sections on or off.
Tab 5: Schedule
When your newsletter sends.
- Frequency — Weekly, Biweekly, or Monthly
- Days — which day(s) of the week (for Weekly/Biweekly)
- Delivery Time — what time the newsletter sends
- Timezone — defaults to your org timezone; you can change here
- Cutoff Offset — hours before send when automatic content pulling stops. Defaults to about 4 hours. You can still manually add content until the newsletter generates.
The Next Send panel shows automation status and the next scheduled send. Use Turn Off Automation to pause sends temporarily.
⚠️ There's a 1-hour newsletter generating window before your scheduled send time. During this window, the newsletter is locked while it's being assembled and you can't make any changes.

Tab 6: Forms
All your public-facing forms and pages for this newsletter.
- Sign-up form (recommended) — a hosted sign-up page
- Sign-up Embed Widget — an iframe to embed on your website
- Sign-up via API — a POST endpoint for developer integrations
- Top Articles Page — a public page showing your top articles, including a sign-up form
- Unsubscribe Page — where subscribers go to opt out
- Topic Preferences Page — if your newsletter uses a topic preference tool, this is where it's managed
Click Customize design on the sign-up form card to update the look (logo, headline, CTA, privacy text). The same designer is used for all your sign-up forms.
URLs use a unique ID and aren't customizable. You can copy each one and share or embed it wherever you need.
Tab 7: Notifications
These are your personal email notifications for this newsletter — they're per-user, so each team member configures their own.
- Content Ready for Review — fires at the start of the cutoff window
- Weekly Report — a summary of how the newsletter performed
- Subscribed to Newsletter — notifies you when someone subscribes
- Schedule Pause Notification — alerts you if the schedule pauses
Tab 8: Tools
Useful extras for this newsletter.
- View in Browser — the URL pattern and a list of past issues
- Top Articles RSS Feed — an RSS URL that surfaces your top articles. Use it as a content source for other newsletters, year-end roundups, or external syndication.
- Languages — pick which languages this newsletter uses (within the languages your organization has enabled). See Languages.
