Managing your contacts
The Contacts section is where you manage everyone in your rasa.io database — who they are, what lists they're on, and what they're subscribed to. To get there, click Contacts in the top navigation.
You'll see three main areas:
- All Contacts — your full contact database
- Lists — static groups used to define your audience
- Subscriptions — the subscription types your contacts can opt in or out of
All Contacts
All Contacts is your complete contact database. Every person you've imported or who has signed up is here.
Use the search bar or the All Status filter to find specific contacts. Status options include active, bounced, and unsubscribed.
Click any contact to open their detail panel, which shows:
- Engagement stats — emails sent, open rate, click rate, and average articles read
- Lists — which lists they belong to
- Subscriptions — which subscription types they're enrolled in
- Recent activity — last activity, last open, last click, and when they subscribed
From the detail panel you can also Edit Contact to update their name, email, or status.
Lists
Lists are static groups of contacts. They're how you define who receives a given newsletter, blast, or sequence — you assign lists to a message in that message's Audience tab.
To create a list, click + Create List and choose a source:
- Blank list — start empty and add contacts manually
- Upload file — import from a CSV or Excel file
- Integration — pull a list from a connected system like HubSpot (if connected)
To add contacts to an existing list, click into the list and use the + Add Contacts button (search existing contacts or create a new one) or the Imports button to upload a file.
Note: file-managed lists only allow imports — manual additions aren't available on those lists to keep them in sync with the source file.
To edit a list's name or description, click the pencil icon on the list card.
⚠️ The Archive All Contacts on This List option in the list edit panel archives the contact records org-wide — not just their list membership. Use with caution.
Lists can also be used as exclude lists — contacts on an exclude list will be suppressed from receiving a message even if they're on an included list. This is useful for things like suppressing contacts who already registered for an event, new members who are in a separate onboarding sequence, or anyone you want to hold back from a specific send. Exclude lists are configured in the message's Audience tab.
Subscriptions
Subscription types define what your contacts are signed up to receive. They appear on the Topic Preferences Page where subscribers manage their own preferences, so write descriptions with your subscribers in mind — they'll see them.
By default, rasa.io automatically creates a Newsletter subscription type when you have at least one newsletter on your account. If you send multiple newsletters and want subscribers to be able to manage them independently — for example, unsubscribing from one without unsubscribing from another — you can create a separate subscription type for each newsletter and assign them accordingly.
To create a subscription type, click + Create Subscription Type and give it a name and description.
Each subscription type can be mapped to a HubSpot subscription type if you have HubSpot connected. To manage that mapping, click Manage Integrations on the subscription type card.
Subscription types are assigned to a message in that message's Audience tab, where you also control opt-in/opt-out behavior.
