Schedule, skips, and pauses
This article covers how to set your newsletter's regular schedule, how to skip a single send, how to customize one specific send, and how to pause your newsletter entirely.
Setting your schedule
Go to Messaging → [Your Newsletter] → Schedule tab.
Configure:
- Frequency — Weekly, Biweekly, or Monthly
- Days — which day(s) of the week (Weekly and Biweekly)
- Delivery Time — what time the newsletter sends
- Timezone — defaults to your org timezone (in Settings → Name & Company), but you can override per newsletter
- Cutoff Offset — hours before send when rasa.io stops automatically pulling new content. Defaults to about 4 hours. You can still manually add or edit content until the newsletter generates.
The Next Send panel shows the next scheduled send and your automation status.
The 1-hour generating window
There's a 1-hour newsletter generating window immediately before your scheduled send time. During this window, the newsletter is locked while it's being assembled, and you can't make any changes to content, audience, schedule, or design for that issue.
This is separate from the Cutoff Offset (which stops automatic content pulling, typically ~4 hours before send). The Cutoff Offset still allows manual content edits; the 1-hour generating window doesn't.
Plan to have all your edits done well before the 1-hour window opens.
Pausing automation
If you need to pause all sends for a newsletter (e.g., during a holiday or content gap), click Turn Off Automation in the Next Send panel.
When automation is off, your newsletter won't send on schedule — even if everything else is set up correctly. Turn it back on when you're ready to resume.
The Send Calendar
Click the rasa.io logo at the top to go to the landing page. The Send Calendar shows every scheduled send for every newsletter, sequence, and blast in your account.
Each day shows:
- Scheduled sends, color-coded by message type (newsletter, sequence, blast)
- A
!icon if the day has multiple sends (over-mail warning) - Holiday indicators (toggle US Holidays on/off at the top)
- Past-day greying
Clicking a calendar day
When you click a day, a panel opens. What you see depends on the day:
Past day — read-only history of what sent, with View Analytics for each send.
Future day with no sends — option to Add a rasa.io issue (custom time + description) or Schedule a Blast.
Future day where all newsletters already have sends scheduled — read-only list of what's scheduled, with the option to edit each one and a Schedule a Blast button.
Clicking a specific scheduled send
Click any scheduled send on the calendar to open the Event Details panel. From here you can:
- Skip This Send — skip just this one send (see below)
- Customize — change time, cutoff, or description for just this send
- View Full Details — open the full newsletter edit view
Skipping a single send
To skip one specific send without changing your regular schedule:
- Open the Send Calendar
- Click the send you want to skip
- Click Skip This Send
The send is skipped immediately. There's no confirmation prompt, so be deliberate.
To re-enable a skipped send, click on it again in the calendar and choose Re-enable this send.
Customizing one send
Sometimes you want one specific send to behave differently — for example, sending an hour earlier for a special edition, or extending the cutoff to accommodate breaking news.
- Open the Send Calendar
- Click the send you want to customize
- Click Customize
In the Customize Issue modal, you can change:
- Send Time — when this specific send goes out
- Cutoff Offset — when content pulling stops for this send
- Description — internal note for this issue
Customized sends show in a different color on the calendar (the Override indicator).
Scheduling a Blast from the calendar
When you click an empty future day or any day, you'll see a Schedule a Blast button. This routes you to Messaging → Blasts where you can set up a one-time send.
Common scenarios
"I'm going on vacation — pause sends for two weeks."
Skip the affected sends on the calendar. Open the Send Calendar from your landing page, click each scheduled send during the vacation window, and choose Skip This Send.
"This week's newsletter should send an hour earlier than usual."
Customize the specific send on the calendar. Set a new Send Time.
"We're not sending next Wednesday's newsletter."
Skip that specific send on the calendar.
"We want to push this week's content to next week."
Skip this week's send, and the next regularly scheduled send will use the content you have accumulated.
"I want to send a one-off promotional email."
Use a Blast instead of customizing your newsletter — Blasts are designed for one-time sends.
